THE POSITION 

Kearns & West is seeking a detail-oriented Project Coordinator to play a crucial role in supporting various, impactful collaborative services projects and providing administrative assistance to the San Francisco Office Team. This entry-level position is ideal for an individual who thrives in a collaborative environmentexcels in problem-solving both independently and within a team, and is adept at setting timelines and objectives.

RESPONSIBILITIES: 

Meeting Support: 

  • Schedule and support coordination of in-person and virtual meeting logistics. 
  • Coordinate and disseminate project information across project partners and stakeholders. 
  • Document internal and external meetings with action items, notes, and summaries.  
  • Support event planning venues, audio/visual, printing, materials development. 

Communications and Outreach: 

  • Data management and Excel charts for production in reports. 
  • Contribute to preparation of informational materials for stakeholders and the public.  

Project Support/Management: 

  • Support project teams in tracking scope, budget, and schedule.  
  • Conduct project research.   
  • Coordinate digital platforms and manage databases.  

Business Development: 

  • Assist in coordinating, tracking, and writing project proposals.   

General Administration: 

  • Track project activities and deadlines.  
  • Provide general staff support and contribute to maintaining office operations.  
  • Manage staffing schedules.   
  • Coordinate invoicing and expenses.  
  • Provide administrative support. 

QUALIFICATIONS 

 Education and Experience: 

  • Bachelor’s degree with a background or interest in transportation, community/regional planning, natural resource management, renewable energy, environmental/public policy issues, air quality, public involvement, conflict resolution, peacebuilding, and mediation.  
  • One to three years of work experience is preferred.  

Additional Qualifications: 

  • Demonstrate strong computer skills, with proficiency in Microsoft Office. Be proficient in data management and creating graphics and charts in Excel.  
  • Experience in event planning.   
  • Strong scheduling skills.   
  • Fluency in Spanish, Cantonese, Mandarin, Vietnamese or another language spoken in California is highly desirable but not required.  
  • Familiarity with 508 and VI compliance is desired but not required. 
  • Must reside in the San Francisco Bay Area and be able to attend in-person events in the San Francisco office and throughout the region.

  • Interested in natural resource management, especially water, community planning, equity, and environmental justice.  
  • Comfortable with taking direction yet able to take the initiative as needed.  
  • Able to reliably set priorities, manage multiple tasks, and meet deadlines.  
  • Successful at balancing working as part of a team with working independently.

COMPENSATION 
Compensation for this position is in the range of $19.23 – $28.85/Hour and will depend on the qualifications and experience of the selected candidate.
